The scariest sentence in event software is 'your trial has expired'. People have lost seating plans, guest lists and months of notes to it. So here is exactly — screen by screen — what happens at the end of a Vowly Event trial, written to be checked against the product rather than to reassure you.

  • Nothing is deleted, ever. Your events, planning, guest list and photos stay exactly where you left them.
  • The app does not lock. You drop to the free plan and keep every planning tool, without a time limit.
  • What closes is the guest-facing side: your published invitation link stops accepting replies until you subscribe.
  • Subscribing later — even months later — reopens the same link. The address never changes, so printed cards keep working.

What stays open, permanently

Everything on the planning side is yours on the free plan, with no countdown: the budget tracker, the seating plan, menu and dietary planning, the playlist, the day-of timeline, tasks, the gift list, your own photo gallery, and the invitation design with all 40 themes. Your guest list stays fully editable — every guest you entered remains yours to read, add to and change.

This is not a grace period. The free plan has no end date, so an engagement planned eleven months ahead can sit in the app for eleven months without paying anything.

What closes, and what your guests see

The paid half is everything your guests touch. When the trial ends, a published invitation link stops serving: a guest who opens it sees a calm unavailable page — with no mention of trials or payments, because your billing is not your guests' business — and a note that the host can reopen it. Replies collected during the trial stay stored; their details unlock again when you subscribe.

The three things that were never part of the trial stay as they were: downloading the printable QR code, inviting your team, and exporting your data all require an active subscription. The QR rule protects you — a QR that could be printed and mailed on a trial would break on card stock if the trial lapsed, and a printed invitation must never break.

Paying later reopens the same link

The invitation address is permanent. Subscribe a week or a season after the trial and the identical link comes back to life — nothing to resend, nothing to reprint, no new URL to explain to your guests. Access then runs for as long as the subscription does: cancel any time, keep everything you paid for until the period ends, and the planning side simply continues free after that.

We built it this way because the alternative — an app that locks and a link that dies permanently — converts panic instead of readiness. You should subscribe on the day your guests need to see the invitation, not on the day a timer says so.
